How to create a Stock Record
STEP 1 Main
Stock Type - This is where you can specify the product, set this to product for a single item or pack if it will contain multiple items (For example a multipack)
Automatically Create SKU (If selected, leave SKU field blank) - If you would like Spitfire to create a SKU for you, set this to yes and leave the SKU section blank.
SKU - Required unless Automatically Create SKU is set to yes. Specify what you would like the SKU of the product to be. Leave blank if Automatically Create SKU is set to yes.
Alternative SKU - Specify if the product has an Alternative SKU, for example, if the supplier it is purchased from has their own different SKU.
Name - You can specify the name of the product here.
Manufacturer - Specify the manufacturer product here.
Weight (g) (per single impression) - This is where you specify the weight - in grams - of a single impression of the product here this can also be left blank.
Height - This is where you can specify the height - in millimetres- of the product here this can also be left blank.
Depth / Width - This is where you can specify the Depth/Width - in millimetres- of the product, this can be left blank.
Length - This is where you can specify the length in millimetres - of the product this can be left blank.
Is this product Dangerous or Hazardous? - Question yourself is this product hazardous, If yes Spitfire will show warnings when a product is to help protect the team.
Override Delivery Method where this Stock Record is present too - If this product requires a different Delivery Method due to size/weight/etc, you would specify which Method is required here.
Measurement Weight (if not using g/kg) - If the product is measured in boxes/pallets/etc, you would specify this here.
STEP 2 - Pricing
VAT Rate - This is where you will be able to select the right VAT rate from the drop-down menu.
RRP - If the product has RRP then please specify here.
Retail Selling Price - This is where you would specify the EX VAT of the selling price you would like to sell the item for. Spitfire will automatically add the 'VAT Rate' specified above to the amount.
Trade Selling Price - This is where you would specify the EX VAT of the trade price you would like to sell the item for. Spitfire will automatically add the 'VAT Rate' specified above to the amount.
Do Not Update Price on Import - Sliding this to Green will make Spitfire not automatically update the price of the stock record when a stock data import has been completed.
Exclude from Purchasing - If Spitfire should not add this item to the Purchasing system, slide this to Green.
Amazon Price - If you are using Amazon, you must specify the price you want to be shown on that platform here.
Moulding Cost - You must specify the cost of the Moulding of the product here, if applicable.
STEP 3 - Stock
Re-Order Below - This is where when a stock reaches below a certain number, an order is automatedly created to a re-order quantity, this can be used to try and get more stock in before the product runs out.
Re-Order Quantity - This is how many of the products will be ordered when the stock becomes low is ready to re-order.
Send Stock Item Direct - If this product needs to be sent directly to a customer from a supplier, slide the slider to Green.
Send Direct if Order contains more than this quantity - If you want to make it so that a certain amount of a product is ordered it goes direct, specify that number here. Spitfire will automatically create a direct order if the order number reaches this number.
Replenish Below - When the stock level reaches a certain level, Spitfire will replenish the required amount.
Replenish Quantity - This is the amount of stock that will automatically be added to the Purchasing Shopping List when the stock level goes below the amount set in Replenish Below.
Minimum Order - If you specify an (Ex VAT) amount here, Spitfire will not allow an order to be placed that is lower than it, unless it is overridden by someone who has that permission.
Step 4 - Details
Stock Description (HTML allowed) - Use this box to enter a detailed description of the product that will appear below the product image. There is no size limit.
Short Description - you can use this box to enter a short, to-the-point description of the product that will appear to the right of the product image.
Specification - You can use this box to enter product Specifications that will be shown next to the Stock Description.
Stock Notes - You can use this box to enter internal private notes for this Product. Customers will not see these notes.
Site Meta Title - You can use this box to enter what will appear as the title of the page. This is normally used for SEO purposes.
Site Meta Keywords - You can use this box to enter a list of keywords for SEO purposes.
Search Tags - You can use this box to enter a list of keywords for SEO purposes.
Insert Cost - Here you would specify the cost of the insert of the product here if it is applicable.
Current Cost - Please specify the Current Cost of the item here. Please note - if you have a Supplier Stock Feed present, then this will be overwritten with those values.
Step 4 - Web
General
Active on Website - Slide the slider to Green to display on own website, or Red to hide it. This doesn't control Amazon/eBay Marketplaces.
Featured on Website - This is for External e-Commerce Sites (Currently Magento) which support it, setting this to green will set this record as a "Featured" item.
Display Priority on Website (The higher the number, the higher the priority) - The higher the number, the higher it will appear in search results on a Spitfire e-Commerce Website.
Amazon
Publish to Amazon - There is a dropdown box with three options here.
Do Not Publish - Do not publish this record to Amazon. Note: If you have previously submitted this product to Amazon, and select this option, then whatever price/stock levels are currently on Amazon will remain there.
Publish Full Stock - Setting this option will publish the item on Amazon with full stock.
Publish Zero Stock - Setting this option will publish the item on Amazon with zero stock. Use this option if you have previously published the stock/price to Amazon and wish to temporarily zero the stock.
eBay
Publish to eBay - There is a dropdown box with three options here.
Do Not Publish - Do not publish this record to eBay. Note, If you have previously submitted this product to eBay, and select this option, then whatever price/stock levels are currently on eBay will remain there.
Publish Full Stock - Setting this option will publish the item on eBay with full stock.
Publish Zero Stock - Setting this option will publish the item on eBay with zero stock. Use this option if you have previously published the stock/price to eBay and wish to temporarily zero the stock.
eBay Set Price this overrides the options below. - TBC
Step 5 - Data
Allow Back Orders even if Supplier not allowed - Slide the slider to Green if you want to allow Back Orders, if not, please leave Red.
OpenRange ID - If you have this you can put the openrange ID of the item here.
SITC ID - If you have it, you can put the SITC ID of the item here.
