In This Section
This section will cover the creating and editing of stock records. The sections below relate to the tabs available. Some tabs will not be shown when creating a Stock Record.
Main (Creating & Editing)
This is where the main stock details can be filled in for the product.
Stock Type
Specify here what type of product the Stock is. Set this to Product for a single item, or Pack if it is to contain multiple items (for example, a multipack).
Automatically Create SKU Create only
If you would like Spitfire to create an SKU for you, set this to yes and leave SKU blank.
SKU Required unless Automatically Create SKU is set to yes
Specify what you would like the SKU of the product to be. Leave blank if Automatically Create SKU is set to yes.
Alternative SKU
Specify if the product has an Alternative SKU, for example, if the supplier it is purchased from has their own different SKU.
Name (Required)
Specify the name of the product here.
Manufacturer (Required)
Specify the Manufacturer of the product here.
Weight (g) (per single impression)
Specify the weight - in grams - of a single impression of the product here. Can be left blank.
Height
Specify the Height - in millimetres - of the product here. Can be left blank.
Depth / Width
Specify the Depth / Width - in millimetres - of the product here. Can be left blank.
Length
Specify the Depth / Width - in millimetres - of the product here. Can be left blank.
Is this product Dangerous or Hazardous?
If the product is Dangerous or Hazardous, set this to yes. Spitfire will show warnings when this product is used to help protect the team.
Override Delivery Method where this Stock Record is present to
If this product requires a different Delivery Method due to size/weight/etc, specify which Method is required here.
Measurement Weight (if not using g/kg)
If the product is measured in boxes/pallets/etc, specify this here.
Barcode
If the product has a barcode, specify it here. This will allow your team to be able to locate the product on Spitfire by scanning or typing the barcode into the Stock/Warehouse search system.
Discontinued
This can be ignored.
Product Group
Specify which Product Group the product belongs to here.
Keep Active
Spitfire will set Stock Records inactive if there are no Supplier Records and no stock attached to them - setting this option to green will stop this from happening.
Active
To make the product appear and be useable on Spitfire, ensure that this is set to yes. Setting it to no will not allow the product to be used in orders and not show up on searches unless Include Inactive Stock is selected.
Selling Hold
This places an item on Selling Hold if the price is incorrect.
Do Not Place on Automatic Selling Hold
This stops an item from being placed on Selling Hold automatically.
Reserved for Customer
You can specify if this item is for a single customer only, so only that customer can see and order the item.
Created Editing only
This will tell you what date the Stock Record was created. It can not be edited.
Created By
The name of the account that created the Stock Record.
Modified Editing only
This will tell you what date the Stock Record was last Modified. It can not be edited.
Modified By
This will tell you who modified the Stock Record.
If you're creating a new Stock Record: Once all fields are filled in correctly, click the button at the bottom right side of the page to show the next step.
If you're editing a Stock Record: Either choose another tab at the top of the page to edit or if you've finished making your edits, click the button at the bottom right side of the page.
Pricing (Creating & Editing)
This is where you can enter all the pricing information for the product. Please note that Special Offers and Quantity Break Pricing can be setup once the Stock Record has been created.
VAT Rate
Specify the product's VAT rate here. Spitfire will automatically add this to the product's price.
RRP
If the product has an RRP, specify it here.
Retail Selling Price (Required)
Specify the Ex VAT of the standard Selling Price you would like to sell the item for here. Spitfire will automatically add the VAT Rate specified above to the amount.
Trade Selling Price (Required if you have Trade Accounts)
Specify the Ex VAT of the Trade Selling Price you would like to sell the item for here. Spitfire will automatically add the VAT Rate specified above to the amount.
Do Not Update Price on Import
Setting this to green will make Spitfire not automatically update the price of the Stock Record when a Stock data Import has been completed.
Exclude from Purchasing
If Spitfire should not add this item to the Purchasing system, set this to yes.
Amazon Price
If you're using Amazon, specify the Price you want to be shown on that platform here.
Lowest Cost Editing Only
The system will populate the Lowest Supplier Cost for this item here.
Highest Cost Editing Only
The system will populate the Highest Supplier Cost for this item here.
Preferred Supplier Cost Editing Only
The system will populate the Preferred Supplier Cost (if setup) for this item here.
Moulding Cost Manufacturing Only
Specify the cost of the Moulding of the product here, if applicable.
Insert Cost Manufacturing Only
Specify the cost of the Insert of the product here, if applicable.
Labour Content Manufacturing Only

Current Cost
Specify the Current Cost of the item here. Please note - if you have a Supplier Stock Feed present, then this will be overwritten with those values.
Do Not Update Cost on Import
Setting this to green will make Spitfire not automatically update the cost of the Stock Record when a Stock data Import has been completed.
Retail Cost Markup
Specify here what you would like the markup, as a percentage, to be. When automatically pricing your stock up, Spitfire will add this to the price of the item presented to a logged-in Retail customer.
Trade Cost Markup
Specify here what you would like the markup, as a percentage, to be. When automatically pricing your stock up, Spitfire will add this to the price of the item presented to a logged-in Trade customer.
Allow Group Discounts
If the product can have Group Discount applied to it, set this to yes.
Allow Customer Discounts
If the product can have Customer Discounts applied to it, set this to yes.
Allow All Users to Amend Cost Price
Setting this to green will allow all users to change the cost price of the Stock Record when inputting an order.

Stock (Creating & Editing)
Stock Levels (Editing Only)
This provides you with some up-to-date information on the Stock Levels of the Stock Record as of the time the page had loaded.
Stock Purchasing Options (Creating & Editing)
Re-Order Below
When the Stock of this product reaches below this number, an order is automatically created to order Re-order Quantity in. This can be used to try to ensure that more stock comes in before you run out of the product.
Re-Order Quantity
This is how many of the products will be ordered when the stock of the product reaches lower than the amount in Re-Order Below.
Send Stock Item Direct
If this product needs to be sent directly to a customer from a supplier, set this to yes.
Send Direct if Order contains more than this quantity
If you want to make it so that if x amount of a product is ordered it goes direct, specify that number here. Spitfire will automatically create a direct order if the order number reaches this number.
Stock Replenishment Options
Replenish Below
When the stock level reaches a certain level, Spitfire will replenish the required amount.
Replenish Quantity
This is the amount of stock that will automatically be added to the Purchasing Shopping List when the stock level goes below the amount set in Replenish Below.
Selling Order
Minimum Order
If you specify an (Ex VAT) amount here, Spitfire will not allow an order to be placed that is lower than it, unless it is overridden by someone who has that permission.

Details (Creating & Editing)
Stock Description
Use this box to enter a detailed description of the product that will appear below the product image. There is no size limit.
Short Description
Use this box to enter a short, to-the-point description of the product that will appear to the right of the product image.
Specification
Use this box to enter product Specifications that will be shown next to the Stock Description.
Stock Notes
Use this box to enter internal private notes for this Product. Customers will not see these notes.
Site Meta Title
Use this box to enter what will appear as the title of the page. This is normally used for SEO purposes.
Site Meta Description
Use this box to enter a small description of the Product for SEO purposes.
Site Meta Keywords
Use this box to enter a list of keywords for SEO purposes.
Search Tags
Use this box to enter a list of words for website and back-office purposes.

Web (Creating & Editing)
This section covers all of the options available for the "Web" tab on the Stock Record.
General
Active on Website
Change this to Green to display on your website or red to hide it. This doesn't control Amazon/eBay Marketplaces.
Featured on External Website
For External e-Commerce Sites (Currently Magento) which support it, setting this to green will set this record as a "Featured" item.
Display Priority on Website
The higher the number, the higher it will appear in search results on a Spitfire e-Commerce Website.
Pricing on Sites Editing Only
Here you can view/delete pricing for specific sites/marketplaces.
Pricing on Sites Creating Only
- Assign to Site
- Select the Site to assign a price against.
- Price for Site
- Set the price to assign to the specified Site (excluding VAT).
Amazon
Publish to Amazon
There is a dropdown box with three options here:
- Do Not Publish - Do not publish this record to Amazon. Note: If you have previously submitted this product to Amazon, and select this option, then whatever price/stock levels are currently on Amazon will remain there.
- Publish Full Stock - Setting this option will publish the item on Amazon with full stock.
- Publish Zero Stock - Setting this option will publish the item on Amazon with zero stock. Use this option if you have previously published the stock/price to Amazon and wish to temporarily zero the stock.
eBay
Publish to eBay
There is a dropdown box with three options here:
- Do Not Publish - Do not publish this record to eBay. Note: If you have previously submitted this product to eBay, and select this option, then whatever price/stock levels are currently on eBay will remain there.
- Publish Full Stock - Setting this option will publish the item on eBay with full stock.
- Publish Zero Stock - Setting this option will publish the item on eBay with zero stock. Use this option if you have previously published the stock/price to eBay and wish to temporarily zero the stock.

- By default, the Category the Stock Record is displayed in is derived from the Stock Group it is in. You can use this option to display Stock Records in more than one category.

If you or Spitfire have requested data for this item, this will show as yes. It is set by and can only be changed by the system.
Currently Updating from Price Feed Editing Only
If Spitfire is currently updating its pricing feed for this Stock Record, this will show as Yes. It is set by and can only be changed by the system.
Allow Back Orders even if Supplier not allowed
Set this to green if you want to allow Back Orders, if not, please leave red.
OpenRange ID
If you have it, you can put the OpenRange ID of the item here.
SITC ID
If you have it, you can put the SITC ID of the item here.
Ignore SITC Data Matching
Set this to green if you would like to ignore the SITC Data Matching.
VOW Reference

Pack Information
Do not automatically update Pack Stock Levels
Set this to yes to have Spitfire not update the stock level of this Pack when it is purchased. This is useful for something you know you will never run out of.
Pack Overhead Cost
Specify the Pack Overhead Cost here.
Explode Items on Invoice
Set this to yes to make Spitfire show the items in the pack on the Invoice.
Explode Items on Order
Set this to yes to make Spitfire show the items in the pack on the Order Confirmation.
Explode Items on Delivery Note
Set this to yes to make Spitfire show the items in the pack on the Delivery Note.
Adding an item to a Pack
Quantity
Set the quantity of the item that you will be adding to the Pack here.
Cost
This is added by Spitfire and shows the cost of the item without Tax once the item had been added to the Pack.
SKU
Enter the SKU of the item here, and Spitfire will show the item in a drop-down box. If the item is already in the Pack, this can be clicked on to bring the Stock Record up for that item.
Description
This is added automatically by Spitfire, showing the name of the item as programmed into its Stock Record.
Action
- If you want to remove an item from the Pack, click the "D" button to delete it.
- If you're adding an item to the Pack, once you've put the information in, click "Add to Pack".

BOMs (Manufacturing Only - Editing Only)
This is where you can input the Bill Of Materials to the Stock Record.
Adding an item to a BOM
Enter the percentage of the item into the Quantity/Percent box, then enter the SKU of the item into the next box. The item will be shown below the box, click it to confirm the item. You can then click the "Add to BOM" button to add the item to the BOM of the Stock Record.
PLEASE NOTE WHEN ADDING RAW MATERIALS: When entering a raw material record, the "quantity" field is the percentage of the total raw materials which applies to that material. i.e. For products with a single raw material, this will normally always be "100.00", for multiple materials, one could be "45.00" and one could be "55.00". This is usually reduced by the percentage of Masterbatch required.
Editing an item on a BOM
You can only change the Quantity/Percent of an item in a BOM - the rest of the information comes from the Stock Record of the item.
If you wish to completely remove an item from the BOM, click the red "D" button next to it and it will be deleted from the Stock Record.

Manufacturing (Manufacturing Only - Creating & Editing)
Box Quantity
Specify the Quantity of items that are in the box of the Product.
Bag Quantity
Specify the Quantity of items that are in a bag of the Product.
Cycle Time (seconds)
Enter the Cycle Time in seconds.
Scrap Percentage
Enter the Scrap Percentage to be added to Job Card Calculations, format: n.nn
Sprue Weight Per Cavity
Enter the Sprue Weight in grams. This will be added to the main "Weight" during the Job Card Calculation.
Tool Setup Time
Enter the Tool Setup Time in seconds.
Core/Cavity/Base

Specify which Machine the Product should be assigned to. Once the Stock Record has been created, you can assign the Product to multiple Machines if required.

Spitfire will list which machines are assigned to the Stock Record here. You can add and remove Machines if required.

Bins (Editing Only)
This allows you to tell Spitfire where stock is located in your warehouse so that your Pickers can pick it quickly with ease.
Bin Locations
Default Stock Location
If you have multiple warehouses that you have set up here, you can specify to Spitfire which one your default is, this will show up first when adding a Bin Location to a Stock Record.
Adding a Bin Reference to a Stock Record
Reference
This is the name of the location that the Stock Record is kept in. This can be anything but needs to match the name of the location. Some examples are "A1-1", "Box xx" & Isle A Shelf B".
Description
This defaults to Created Automatically but can be changed to anything you like.
Stock Level
Once a Bin has been created, Spitfire will show how much Stock of the Stock Record it believes is in this location.
Active
You can mark if the Bin Location is active here. At least one Bin location must be active.
Bulk
If you have a "bulk" location where a large bulk or pallet of stock is kept until it is decanted into a Picking Bin, you can mark this location like this, and Spitfire will not send a Picker to it.
Location
This drop-down list will show all of the Locations programmed into Spitfire, with the top one always the default one specified on Default Stock Location above.
Action
- On a Bin Reference that's already set up, "D" will delete the record, and "P" will print a label with all the Bin details on it.
- When you're creating a Bin Reference when all the information has been entered, click "Create" to store it into Spitfire.

Barcodes (Creating & Editing)
Barcodes / EANs
Barcode Creating Only
You can enter the barcode of the item here. You can add more barcodes if required, once the Stock Record has been created.
Barcode / EAN Editing Only
If you entered a barcode when creating the Stock Record, it will show here. You can add or delete barcodes for the Stock Record here, which if scanned, will bring the item upon Spitfire for ease of use.
Special Pricing (Editing Only)
This allows you to set a special offer price on the Stock Record, as opposed to applying a discount to a range of items as per the Discount Maintenance section.
Special Offers
Category
You can choose which customer category the Special Offer is applied to, so you can give different customer types different discount amounts, for example, retail and trade.
Date From
Set this to the date you would like the Special Offer to start. Spitfire will change the price automatically at midnight on this date.
Date To
Set this to the date you would like the Special Offer to end. Spitfire will change the price back to the normal price at midnight at the end of this date.
Price
Set the Special Offer price here, without Tax.
Action
- If you're entering a new Special Offer, press "Add to Offers" to enter it into Spitfire.
- If you wish to delete a Special Offer already programmed into Spitfire, press "D" to delete it.
Now you can either choose another tab at the top of the page to edit or if you've finished making your edits, click the button at the bottom right side of the page.
Qty Pricing (Editing Only)
Here you can specify if a Stock Record is cheaper if a customer purchases a set quantity of the item.
Quantity Break Pricing
This shows Price Breaks that are already applied to the Stock Record and can be edited or deleted.
Customer Category
You can choose which customer category the Price Break is applied to, so you can give different customer types different discount amounts, for example retail and trade.
Qty From
This is the smallest quantity the customer needs to put in the basket for the price in Price to apply.
Price
Specify the price you would like the item to be here excluding Tax.
Delete
If you want to remove a Price Break that's already showing, press the red "D" button.
Add New Quantity Break Price
This is where you can create a new Price Break. The options are identical to the above and click "Add" when you have input the information required.
Now you can either choose another tab at the top of the page to edit or if you've finished making your edits, click the button at the bottom right side of the page.
Category Pricing (Editing Only)

Reviews (Editing Only)
This will show you all Reviews left for the Stock Record by customers on the website.
Stock Reviews
Review Timestamp
This shows the date and time that the customer published the Review.
Customer
This shows the customer's name and lets you know if they were logged into their account when they published the Review.
Review Stars
This is how many stars the customer gave the Stock Record.
Review Text
If the customer has entered any text into their review, it will show here. If they did not, it will show "Star Review Only.".
Action
Two of three buttons will appear here:
- "D" to delete will always show - use this to irreversibly delete the Review.
- If the Review is published and viewable on the website, "U" will show, allowing you to unpublish the Review from the website.
- If the Review is unpublished, "P" will show, allowing you to publish the Review back onto the website.
Now you can either choose another tab at the top of the page to edit or if you've finished making your edits, click the button at the bottom right side of the page.
Asset (Editing Only)
This is where you can specify if the Stock Record is an asset (for example, a printer, machine, etc).
Asset Details
Is this an asset
If the Stock Record is an Asset, set this to Yes.
Asset Serial Number
Enter the Serial Number of the Asset here.
Asset Year of Manufacture
Enter the Year the Asset was Manufactured here.
Now you can either choose another tab at the top of the page. To edit or if you've finished making your edits, click the button at the bottom right side of the page.
Parts (Editing Only)
This is where you can specify which item is compatible with what machine.
Part Finder Details
Alternative/Linked Stock Item:
This allows you to link two stock records to each other and utilise the "% of Alternative SKU" under "Stock" -> "Groups" to automate the pricing.
Part Finder Matches
Assign to Model:
This is where you can assign the item to the model of the machine.
Now you can either choose another tab at the top of the page to edit or if you've finished making your edits, click the button at the bottom right side of the page.
Cases (Editing Only)
This is where you can attach a case to a Stock Record.
Case ID
This is the Case ID number is for reference.
Status
This is the current status of the Case.
Created
This is when the Case was created.
Operator
This is who the Operator who created the Case is.
Customer
This is who the Case is linked to.
Subject
This is the Subject of the Case.
